Rent-reduction cases, handled in a fraction of the time
Judging whether a rent-reduction claim held up meant reconciling historical tenancy files, live email threads and master data across two separate systems, all by hand. PIKO connects those systems and brings the historical documents together with the live emails and tickets. An AI agent prepares each case with the full context and every statement sourced, so caseworkers are left with just the decision.
Every record checked, not just a sample
QA had to check every inspection and batch record against the current spec by hand: look up the required value, find the measured value, compare them, tick off completeness. Only what time allowed got checked; the rest stayed a risk. PIKO connects the DMS, ERP and record store and pulls both values automatically, the target from the spec and the actual from the record. A curated vocabulary makes sure the right spec version is always used, and every comparison is backed by its source, so QA only has to confirm in review.
The intelligent machine record
Manuals, maintenance logs, service reports, invoices, emails: everything that ever happened to a machine is written down somewhere, scattered across all of them, and most of it quietly disappears into paperwork and inboxes. PIKO pulls it together into one intelligent machine record and makes the knowledge usable: a single source-backed record per machine that AI agents can then work on, with the right procedure for its series, variant and software version, on hand right at the job.
Spotting schedule slips before production stalls
Most suppliers confirm by email, in every format imaginable, and a slipped delivery date is easy to miss when it is mentioned in passing somewhere in the text. Each reply meant the same routine: read the mail, switch to the ERP, check the agreed date, leave a note. PIKO connects the procurement inbox to the ERP. Incoming confirmations are classified, matched to the right purchase-order line and checked against its agreed date, and the critical slips land straight in front of the buyer.
Workshop emails in a multi-client fleet, almost fully automated
Every workshop email was worked by hand: look up the plate, open the FMS, find the vehicle, pin down the client, check the service rule, create the task. A single invoice covering several vehicles across different clients could eat an hour. PIKO connects the operations inbox to the fleet system, with each client's service rules captured as a curated rule set. Every email comes back as a ready-made task, and operations just confirms before it fires.
Status capture in customer portals: once instead of twelve times
Every loading event got typed into four to six customer portals, each with its own status codes and field logic. The knowledge of what maps to what lived solely in the dispatchers' heads. PIKO reads the TMS activity read-only and connects the portals over API and SFTP. A curated mapping file per portal converts each event into that portal's own status codes, so dispatch captures the event once and only steps in for the edge cases.
Preparing annual reviews in minutes instead of hours
The data sat scattered: the book of business in the broker system, the clauses in policy PDFs, the real risk inventory in customer spreadsheets. Coverage gaps were closed by hand in Excel, one client at a time. PIKO connects the broker system, DMS and customer spreadsheets and reads the policies through Document Intelligence. It checks the sum insured against the actual assets at risk and pulls it all into one consolidated briefing, every statement sourced, so advisers only review.
