About the customer
The broker serves commercial clients with 8–20 active policies each across every line of business. Once a year comes the annual review: go through every policy, reconcile it with the current state of the business, identify gaps, formulate recommendations.
The challenge
Preparation took 2–6 hours per client — for a typical portfolio, several hundred hours per adviser per year that weren’t spent with the customer, on acquisition, or on closing gaps.
The data was scattered: the broker management system on MS SQL, policy PDFs on the network drive, customer Excel lists with the actual machinery and fleet inventory, a Word minute from the last meeting, an email archive of market circulars.
Reconciling the sum insured was manual work per client (“EUR 4.3M in machinery, EUR 3.1M in coverage — underinsurance of EUR 1.2M”). Consolidated reporting (“How many clients are underinsured on machinery?”) was missing entirely.

The solution
At the click of “prepare annual review,” Piko consolidates the active portfolio with all policies and clauses, the current risk inventory from the customer Excel lists, and the changes since the last annual review.
Coverage gaps are detected systematically — sum insured vs. acquisition value, uninsured locations, changed headcounts. Every statement shows its source: which policy PDF on which page, which Excel cell, which broker-management-system table.
The broker management system, DMS, and customer Excel world remain unchanged — Piko reads, consolidates, and writes briefing drafts. The adviser confirms statements before communicating with the customer.
